AI & Content Processing

A practical explanation of how automation, AI-assisted tools and authorized human review may participate in the SYNTHEX production workflow.

1. Scope

This notice explains processing that may occur when SYNTHEX receives source videos, audio, transcripts, Brand Kit assets, instructions, campaign metadata or other customer materials. It supplements the Customer Terms, Privacy Policy, Security page and applicable Data Processing Addendum.

2. AI-assisted uses

Depending on the selected workflow, automated or AI-assisted tools may be used for transcription, audio cleanup, scene or speaker analysis, candidate-clip detection, reframing, subtitles, caption timing, summaries, hooks, headlines, CTA suggestions, translation, metadata, quality signals, rendering or workflow routing. Not every campaign uses every function.

SYNTHEX may change providers or methods when reasonably necessary to deliver the accepted scope, subject to applicable privacy, security and contractual obligations.

3. Human review

SYNTHEX is a managed production service. Authorized staff or approved contractors may access customer materials when reasonably necessary for source review, production, quality assurance, revisions, support, security, rights complaints or compliance. Human access is intended to be role-appropriate and limited to the task.

Human review does not mean every automated output is manually verified for factual, legal or professional accuracy.

4. Customer rights and input

The customer retains ownership of customer-supplied content and must have the rights, licenses, releases and permissions needed for the people, voices, music, images, trademarks and other materials submitted. The customer authorizes processing only to the extent needed to provide, secure and support the service and as otherwise described in the applicable agreements.

5. Output limitations

Automated and generative systems can produce errors, omissions, inaccurate captions, altered meaning, hallucinated facts, non-unique language or material that requires additional rights review. Similar or identical outputs may be generated for different users where the underlying request is not unique.

SYNTHEX does not guarantee that AI-assisted output is factually correct, legally compliant, non-infringing, unique or suitable for a regulated profession without customer review.

6. Model training and service improvement

SYNTHEX does not intentionally authorize private client source videos, private transcripts, Brand Kit assets or final deliverables to be used to train general-purpose AI models for unrelated customers. We may use aggregated or appropriately de-identified operational information to improve workflows, reliability, templates and service quality.

Third-party provider terms, retention settings and model-improvement practices can differ. SYNTHEX selects and configures providers based on the controls commercially available to us and identifies material providers on the Subprocessors page. A customer with a strict no-training, residency or enterprise AI requirement must disclose it before purchase so we can determine whether the requested workflow is supportable.

7. Sensitive data, voice and likeness

Standard SYNTHEX service is not intended for protected health information, government secrets, biometric databases or other highly regulated datasets. Do not submit unnecessary sensitive data. If a project uses a real person's voice, likeness or other identifying characteristics, the customer must hold the necessary authorization for the intended production and publication.

SYNTHEX will not intentionally create a deceptive impersonation or fabricated testimonial presented as a real customer experience.

8. Retention and deletion

Source and working files may exist in storage, processing tools, automation logs and rendered outputs for the time reasonably needed to deliver, revise, secure and support the campaign. Deletion from active systems may not immediately remove backups, legal holds or provider copies that are subject to their own retention cycles. 9. Third-party processors

Production may use cloud hosting, payment, storage, automation, audio, transcription, clipping, rendering and conversion providers. 10. Customer review before publication

The customer is responsible for reviewing final names, numbers, subtitles, claims, offers, professional statements, disclosures, translations and other material before publication. SYNTHEX production support does not replace legal, medical, financial, tax, advertising or professional review.
