Data Retention

Retention is based on service delivery, security, accounting, legal evidence and data minimization—not indefinite storage.

1. Retention principles

SYNTHEX seeks to collect and retain only information reasonably needed for the service, security, fraud prevention, accounting, contract evidence and legal obligations. The periods below are operational targets or business-need windows, not promises that every provider copy disappears immediately on the last day.

2. Current framework

RecordTypical approach
Source videos and working filesThrough production/review and a reasonable post-delivery support period; ordinarily targeted for deletion or archive within 90 days after final delivery unless continued work, a dispute or another basis applies.
Final deliverablesLimited delivery/support period. Customers should keep permanent copies.
Transcripts, captions, metadata and Brand Kit working dataWhile useful for the active service and thereafter only as reasonably needed for continuity, support, evidence or deletion cycles.
Account and support recordsDuring the relationship and ordinarily up to 24 months afterward unless a longer legal/business need applies.
Billing/tax recordsFor periods required by applicable tax, accounting, payment and audit obligations.
Legal acceptance/consent evidenceFor the relationship plus the period reasonably necessary to establish or defend claims.
Security/audit logsRisk-based period appropriate to investigation, fraud prevention and system integrity.
Partner commission/payout recordsCommission window plus applicable tax, accounting, fraud and dispute periods.

3. Backups and provider copies

Deletion from active systems may not immediately remove encrypted backups, caches, immutable logs or disaster-recovery copies. Those copies are not intended for ordinary use and expire or are overwritten according to applicable system/provider cycles.

4. Legal, fraud and security holds

SYNTHEX may temporarily preserve otherwise deletable information for litigation, rights complaints, chargebacks, tax inquiries, lawful requests, fraud investigations or security incidents. A hold should be limited to information and time reasonably connected to the issue.

5. Requests

Email admin@synthexsystemshub.com with “Privacy request” and the account/campaign identifier. We may verify identity, preserve records that must remain, and explain limitations caused by backups or provider cycles.

YouTube: connection, privacy and control

Disconnecting through SYNTHEX triggers immediate token revocation with Google. We delete associated authorized data promptly and within 7 calendar days. The same deletion deadline applies to a deletion request or account deletion. Following revocation through Google settings, associated API data is deleted promptly and within 30 calendar days of revocation. Other stored YouTube metadata is refreshed or deleted within 30 calendar days.

These YouTube-specific rules take precedence over our general retention windows and backup language for the data they cover.
