What matters
- We collect contact, order, source, billing-related and service-usage information needed to operate Synthex.
- Source videos may be processed by approved providers for transcription, audio, clipping, rendering, storage or delivery.
- We do not sell personal information for money.
- We use reasonable access controls and keep information only as long as needed for service, legal, security and dispute purposes.
- Depending on location, you may have rights to know, access, correct, delete, restrict or opt out of certain processing.
1. Scope and controller
This Privacy Policy explains how SYNTHEX SYSTEMS LLC collects, uses, discloses and retains personal information through the website, SYNTHEX Workspace, communications, production workflow and delivery. It does not govern a third-party platform’s independent processing. When a business client submits source content containing other people, the client is responsible for having an appropriate basis and notices.

Do not send highly sensitive information unless specifically requested through an approved secure method. Ordinary SYNTHEX Workspace and support fields are not designed for health records, government identifiers, account passwords, authentication codes or full payment-card data.
3. Why we use information
- Provide account and organization access, campaign setup, Brand Kit, source review, production, quality control, clip review, delivery and support.
- Create quotes, administer subscriptions, verify payment and maintain accounting records.
- Communicate approvals, status, revisions, policy changes and security notices.
- Protect accounts, staff, providers and the service from fraud, abuse and technical incidents.
- Improve templates, workflows and service reliability using appropriate operational data.
- Comply with law, enforce agreements and establish or defend legal claims.
4. Legal bases and choices
Depending on applicable law, processing may rely on performance of a contract, steps requested before a contract, legitimate interests in operating and securing the service, consent for optional activities, and legal obligations. Where consent is required, it may be withdrawn prospectively. Refusing necessary information can prevent us from accepting or completing an order.
5. When information is disclosed
We may disclose information to service providers acting for us, including hosting, storage, payment, communication, audio, transcription, automation, clipping, rendering, analytics and professional advisers. We limit access to what is reasonably needed and use contractual or operational safeguards appropriate to the relationship.
We may also disclose information with your direction, in a business transaction, to protect rights and safety, or when legally required. We do not authorize providers to use client source content for unrelated public promotion. Provider terms and machine-learning settings can vary; we select and configure services based on the operational requirements available to us. 6. Sale, sharing and advertising
Synthex does not sell personal information for monetary consideration. We do not use client source videos for cross-context behavioral advertising. The public website may use limited technical tools needed for operation, security or aggregate analytics. If our practices change in a way that creates an opt-out right, we will provide the required mechanism.
7. Retention and deletion
We retain information for the period reasonably necessary to deliver the service, maintain business and tax records, resolve disputes, enforce agreements, protect security and meet legal duties. Production source and working files may be deleted or archived after delivery according to operational schedules; clients should keep their own originals and final copies.
Deletion from active systems may not immediately remove encrypted backups, legal holds or records required for accounting and fraud prevention. Those copies are isolated or retained until the applicable cycle expires. Additional operational retention targets are described in the Data Retention notice.
8. Security
We use reasonable administrative, technical and organizational measures such as access limitation, provider review, authentication, secure transport where supported, logging and incident procedures. No system is perfectly secure. Clients should use controlled sharing links, revoke unnecessary access and avoid transmitting secrets in free-text fields. See the Security page for more detail.
9. Privacy rights
Depending on where you live and whether the law applies, you may request access to categories or copies, correction, deletion, restriction, portability, information about recipients, withdrawal of consent or an opt-out from certain sale/sharing or targeted-advertising activities. You may also appeal a denied request where required.
Submit a request to admin@synthexsystemshub.com with “Privacy request” in the subject. We may verify identity and authority before responding. Authorized agents may be required to provide proof. We will not discriminate for exercising applicable rights. 10. California notice
California residents may have rights under the California Consumer Privacy Act as amended, subject to thresholds and exceptions. If Synthex is required to honor a particular request, the categories, sources, purposes and disclosures described above form part of the notice at collection. We do not knowingly sell or share personal information of consumers under 16.
California’s “Shine the Light” law may permit certain requests about direct-marketing disclosures. Because Synthex does not disclose client personal information to third parties for their own direct marketing in the ordinary course, such disclosures generally do not occur.
11. International processing
Synthex and providers may process information in the United States or other countries. Privacy laws may differ. Where required, we use recognized transfer mechanisms or other safeguards. By submitting content, the client remains responsible for international-transfer requirements applicable to people appearing in or connected to that content.
12. Children
The service is intended for business users and is not directed to children under 13. We do not knowingly collect personal information directly from children through the public website or SYNTHEX Workspace. If you believe a child submitted information without appropriate authorization, contact us.
13. Updates and contact
We may update this policy as services or law change. The updated date appears above. Material changes will receive additional notice when required. Privacy questions and requests: admin@synthexsystemshub.com.
YouTube: connection, privacy and control
SYNTHEX uses YouTube API Services. When you connect a channel, we obtain its identifier and name and store encrypted authorization tokens, granted permissions and connection timestamps. When you authorize an upload, we send YouTube the selected video, title, description, visibility and audience setting, and record the returned video identifier, link and operation result.
We use this information to identify your destination channel and carry out the managed publishing work you authorize. Authorized SYNTHEX personnel may view the channel and publishing information needed for that work. Google/Firebase and infrastructure providers process service data on our behalf. We do not sell Google user data, use it for advertising or use it to train general-purpose AI models.
This connection does not request access to Gmail, Google Drive, YouTube Analytics or YouTube Reporting. Workspace uses browser storage for session and language functionality. Google’s authorization pages are governed by the Google Privacy Policy.
You can disconnect and request deletion through Workspace → Social, or contact admin@synthexsystemshub.com with “YouTube privacy request”. You can also revoke access through Google security settings. Removing data from SYNTHEX does not delete videos or other data held by YouTube; manage those separately in YouTube.
Disconnecting through SYNTHEX triggers immediate token revocation with Google. We delete associated authorized data promptly and within 7 calendar days. The same deletion deadline applies to a deletion request or account deletion. Following revocation through Google settings, associated API data is deleted promptly and within 30 calendar days of revocation. Other stored YouTube metadata is refreshed or deleted within 30 calendar days.
These YouTube-specific rules take precedence over our general retention windows and backup language for the data they cover.
